We will inform you at the point of collecting information from you, whether you are required to provide the information to us.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">4.THE PERSONAL INFORMATION WE COLLECT AND USE:\u00a0 Information collected from other sources<\/h2>\n\n\n\n<p>We also obtain personal information from other sources as follows:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Name, contact details (address, property address, home and mobile telephone numbers, e-mail address, mortgage details) from solicitors, accountants, other managing agents, parties to your property lease including the freeholder, lessor and management company.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">5.\u00a0How we use your personal information<\/h2>\n\n\n\n<p>We will typically collect and use this information for the following purposes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>For the performance of a contract you have with our client being the company or person responsible for management under the property lease and pursuant to which we are appointed as their agent.<\/li>\n<\/ul>\n\n\n\n<p>and\/or<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>For the purposes of our legitimate interests or those of a third party, but only if these are not overridden by your interests, rights or freedoms.<\/li>\n<\/ul>\n\n\n\n<p>We seek to ensure that our information collection and processing is always proportionate.&nbsp; We will notify you of any material changes to information we collect or to the purposes for which we collect and process it.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">6.Who we share your personal information with<\/h2>\n\n\n\n<p>We routinely share the following categories of personal data:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Name<\/li>\n\n\n\n<li>Address<\/li>\n\n\n\n<li>Email address<\/li>\n\n\n\n<li>Mobile telephone number<\/li>\n<\/ul>\n\n\n\n<p>This personal information may be shared with the following categories of recipients:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Solicitors, debt collection service providers, accountants, computer software providers, IT support service providers, other managing agents, parties to the lease including our employer as managing agent, contractors attending the property where necessary for access with your express permission.<\/li>\n<\/ul>\n\n\n\n<p>This data sharing enables us to perform our contract as managing agent.<\/p>\n\n\n\n<p>We will share personal information with law enforcement or other authorities if required by applicable law.<\/p>\n\n\n\n<p>We will not share your personal information with any other third party.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">7.WHERE YOUR personal INFORMATION MAY BE HELD<\/h2>\n\n\n\n<p>Information may be held at our offices and those of our group companies, and third party agencies, service providers, representatives and agents as described above.<\/p>\n\n\n\n<p>We have security measures in place to seek to ensure that there is appropriate security for information we hold including those measures detailed in our GDPR data protection policy.<\/p>\n\n\n\n<p>Or, for example, a set number of years after a data subject ceases to be a lessee in that development.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">8.How long your personal information will be kept<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>We will hold Name, contact details, address, property address, home and mobile telephone numbers, e-mail address, mortgage details if required<\/li>\n\n\n\n<li>for a period of six years which is the period we are required to retain this information by applicable UK tax law<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">9.\u00a0Reasons we can collect and use your personal information<\/h2>\n\n\n\n<p>We rely on contract as the lawful basis on which we collect and use your personal data.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">10.\u00a0Transfer of your information out of the EEA<\/h2>\n\n\n\n<p>We will not transfer your personal information to areas located outside the European Economic Area (EEA).<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">11.Your rights<\/h2>\n\n\n\n<p>Under the General Data Protection Regulation you have a number of important rights free of charge.
